HOW WE LIVE TOGETHER

Internal rules

These rules say how ISEP Bands works, what joining commits you to and what happens when a line is crossed. We wrote them so that nobody gets a nasty surprise.

Our philosophy

ISEP Bands brings together the musicians of ISEP and gives them what they need to play together, rehearse properly and get on stage in front of an audience. None of that holds up without a fair amount of trust between us.

This text was not written to punish anyone, but so that everyone knows what to expect before committing. Whenever a situation is not covered here, the board decides.

Article 1

Membership and fee

Membership is open to every ISEP student, whatever their level of playing. Joining means accepting these rules in full.

  • Applications are approved by the board, which alone votes on admissions.
  • Membership covers the association year, from 1 August to 31 July, and is renewed with the agreement of the sitting board.
  • The fee is set each year at the handover assembly, and it does not change during the year.
  • The alumni fee is at least twenty per cent higher than the members fee.
  • A member who is removed does not get their fee back.

Article 2

Categories of member

Rights differ depending on how someone joins the association.

  • Members are the students enrolled at ISEP, and they are the only ones who vote at the general assembly.
  • Alumni stay part of the association but do not vote, and they may neither chair it nor sit on the board.
  • Honorary members are chosen by the board for what they brought to the association, with no fee and no commitment.
  • A short-term member gets access to every event for the length of their membership, without committing any further.
  • Outside contributors are musicians invited now and then, who pay no fee and do not vote.

Article 3

Respect and kindness

We tolerate no discrimination, no moral or sexual harassment and no humiliating behaviour, whether in rehearsal or online.

  • Everyone is welcome whatever their level, their style and their background.
  • Disagreements are settled by talking, and the board can step in as mediator when things get stuck.
  • Any act of harassment or violence is reported to the board straight away, and answered within fifteen days.
  • The board guarantees the confidentiality of whoever reports.

Article 4

Rehearsals and sessions

A rehearsal is not optional. The slot is booked and paid for in advance, and the other musicians planned their week around that date.

  • You book through the website and warn the others as soon as you know you cannot make it.
  • A rehearsal is owed forty-eight hours before it starts, so past that point whoever cancels still pays their share.
  • An absent musician pays back without dragging it out those who fronted the cost of the slot.
  • A slot starts with setting up and ends with packing down, not after.
  • Repeated lateness, a last-minute cancellation or a failure to pay are breaches, and they are sanctioned as such.
  • Three unannounced absences on the same project can get the musician replaced.
  • Outside guests are announced in advance and stay the responsibility of the member who brings them.

Article 5

Gear, loans and rooms

The association gear, the gear we lend each other and the gear pooled for an event all follow the same logic, since whoever uses it answers for it.

  • Association gear is lent to members, but it is never rented out and never passed on to a third party.
  • A loan between members is arranged directly, and the board is told as soon as the gear leaves the rooms.
  • Gear pooled during an event stays in the care of whoever is using it.
  • Any damage, fault or missing item is reported immediately, even when it looks minor.
  • Rooms are left tidy and clean, with cables coiled and amps switched off.
  • Inside the school, ISEP instructions come before ours.

Article 6

Damage, loss and reimbursement

A broken instrument gets repaired or replaced, and the matter is settled quickly so it does not sour things inside the band.

  • Normal wear and faults that happen in proper use stay with the association or the owner.
  • Whoever breaks, damages or loses association gear through negligence or improper use pays for the repair or the replacement.
  • It works the same between members, so whoever damages the personal gear of another member settles it directly with its owner.
  • The same goes for gear lent by a third party or shared during an event, whoever it belongs to.
  • The board establishes the damage with the people involved, prices the repair from a quote or an invoice, and can allow payment in instalments.
  • The association does not insure the personal gear we bring, which stays the responsibility of its owner.
  • Refusing to answer for damage you caused is a breach, and it gets sanctioned.

Article 7

Events and concerts

A concert rests on the handful of people who carry the gear and tidy up at the end. Signing up for an event also means taking part in running it.

  • Sign-ups and announced deadlines are firm.
  • Every member who signs up lends a hand with setting up and packing down.
  • Respect for neighbours, curfews and sound levels is what lets us keep our venues.
  • When you can no longer come, you cancel as early as possible so someone else can take the place.

Article 8

Image, communication and creations

Whatever goes out on the official channels commits the whole association, so nobody speaks in its name without a mandate from the board.

  • Official accounts and channels are run by the communication team, under the responsibility of the board.
  • Photos and videos taken during activities may be published, and any member can object or ask for a removal.
  • The songs we play respect the rights of their authors.
  • Original creations stay the property of whoever wrote them.

Article 9

Safety and substances

Our activities often run late, loud and around mains electricity, so safety comes before the party.

  • Alcohol is tolerated at events that plan for it, in moderation and for those of legal age.
  • Narcotics are forbidden, without exception.
  • We refuse access to the gear and to the stage to anyone visibly drunk.
  • Hearing protection is strongly recommended, in rehearsal as on stage.

Article 10

Expenses and reimbursements

Every role in the association is unpaid, and only the costs incurred for it are reimbursed.

  • Spending for the association is approved by the treasurer before it happens, barring a real emergency.
  • Reimbursement is made against the receipt in the name of whoever paid.
  • Mission, travel and representation costs are reported per beneficiary to the general assembly.

Article 11

Personal data

What you put on the website is only used to keep the association running.

  • No data is passed on to a third party for commercial purposes.
  • Every member views, corrects and deletes their data from their profile.
  • The full detail of the processing is set out in the privacy policy.

Article 12

Application and amendment

These rules change along with the association, and what counts is the version published on the website.

  • They are written by the board and then approved at the general assembly.
  • Any change is announced to members before it takes effect.
  • The version in force is available at all times on the website.
  • A situation that is not covered here is decided by the board, in the spirit of the text.

Breaches and sanctions

A sanction is proportionate to the facts, and it is never decided without the person concerned having had a chance to give their side.

  1. 1

    Verbal reminder

A conversation with a board member, with nothing kept on record. That is what happens after a first slip.

  2. 2

    Written warning

It sets down in writing the facts, what has to change and by when.

  3. 3

    Temporary suspension

Access to activities, gear and rooms is cut off for a period set in advance.

  4. 4

    Removal from the association

Voted by majority of the administration council, it puts an end to the membership.

How it gets decided

  • The member is told beforehand that their removal is going to a vote, and it is discussed with them.
  • They can come and put their case to the administration council.
  • The fee already paid is not refunded.
  • Someone who resigns can come back later, whereas a member who was removed cannot.

A question, or something to report?

The board can be reached at any time, and a report stays confidential.
